This notice explains how Rock SH LTD handles personal information received through direct email enquiries about the static Membs coming-soon page.

Information we receive

The teaser page has no form or account and does not collect personal information through cookies or analytics. If you choose to email us, we may receive your name, email address, organisation, role, contact details, message, attachments, our replies, and ordinary email delivery information such as dates, times and technical headers.

Please do not send sensitive or unnecessary personal information in an initial enquiry.

Why we use enquiry information

We use the minimum information reasonably needed to:

  • read, route and respond to your enquiry;
  • discuss a service or business relationship you ask us about;
  • keep a proportionate record of the enquiry and response; and
  • protect our systems, establish facts, handle complaints, or meet legal duties where necessary.

We rely on our legitimate interests in handling expected business enquiries and keeping proportionate correspondence records. Where you ask us to take steps before entering a contract, we may rely on the contract lawful basis. We may also use information where necessary to comply with a legal obligation.

We do not use teaser enquiries for automated decisions, profiling or unrelated direct marketing.

Who receives the information

Access is limited to authorised personnel at Rock SH LTD who need the information to handle the enquiry.

We use Microsoft 365 / Exchange Online to receive and store email enquiries. Microsoft acts as a service provider processing information for us under its applicable terms. We may also disclose information to professional advisers, courts, regulators, law enforcement or other authorities where necessary and lawful. We do not sell enquiry information.

Website delivery information

When the page is delivered, Cloudflare may receive visitor IP addresses, requested URLs and paths, timestamps, browser or device details, request-header information, security events and abuse signals. This information may be used to deliver the page, maintain security, troubleshoot problems and prevent abuse.

Cloudflare may process this information for Rock SH LTD and under the terms that apply to its services. Log availability and retention depend on the service configuration. Cloudflare may process information outside the UK. If a restricted transfer applies, the applicable transfer arrangements and safeguards will be described in the version of this notice that accompanies the service.

International transfers

How long we keep enquiries

We keep an unsuccessful enquiry for 12 months after the last contact, then delete it unless a legitimate legal, complaint or security reason requires limited further retention. We review deletion quarterly across the enquiry inbox, sent items and attachments.

If a customer relationship begins, relevant records move to the customer-record retention policy adopted for that relationship. That later policy is outside this teaser notice.

Security

We use, and require our providers to use, technical and organisational measures appropriate to the information and the risks involved. Access is limited to authorised people, and information that is no longer needed is scheduled for deletion. No internet or email system can be guaranteed completely secure.

Your rights

Depending on the circumstances and lawful basis, you may have rights to:

  • be informed about how we use your information;
  • ask for access to it;
  • ask us to correct inaccurate or incomplete information;
  • ask us to erase or restrict it;
  • object to processing based on legitimate interests; and
  • receive information in a portable format where that right applies.

Some rights are not absolute. Email hello@membs.app to make a request or raise a concern. We may ask for enough information to confirm your identity and locate the relevant records, but not more than is reasonably necessary.

Complaints

Please contact us first at hello@membs.app so we can try to address your concern. You may also complain to the Information Commissioner's Office through its official complaint service.

Children

The coming-soon page is not designed to collect information from children. If a child emails us, we use only the minimum information needed to respond, do not use it for marketing, and delete it promptly where there is no legitimate reason to retain it.

Cookies and analytics

The teaser does not use cookies, analytics, tracking pixels, local storage or similar browser storage/access technologies. If this changes, we will update this notice and provide any information or choices required by law before using the new technology.

Updates to this notice

We may update this notice if the teaser, enquiry handling, providers or legal requirements change. The effective date above identifies the version. We will review the notice before starting any new use of personal information and bring material changes to affected people’s attention where appropriate.
